Transactional Emails

B2B Edition sends transactional emails for company and user lifecycle events - company approvals, invited users, quotes, invoices, and more. You can translate every one of these templates into your storefront’s languages directly from the control panel, so each recipient gets the email in their own language.

Where to manage email templates

Go to Settings > Transactional Emails in your B2B Edition control panel. Templates are grouped into two lists:

  • Templates for buyer - sent to company users and admins, such as company approval, invoice, and quote notifications
  • Templates for staff - sent to your team, such as new sales rep notifications

Select a template to open its editor.

If your store has more than one storefront, choose the storefront first. Each storefront keeps its own translations, or you can turn on Use Global to reuse the default storefront’s template instead of maintaining a separate copy.

Translating a template

Each template’s editor includes a language picker listing the locales enabled on the storefront the template belongs to. The picker only appears if that storefront has more than one enabled locale. Pick a language, then use the Phrases tab to translate that email’s text - headings, buttons, instructions - listed as name/value pairs. The name identifies which part of the email the text belongs to; the value is what the recipient actually reads. Edit a value to translate it, or add a new phrase if one is missing.

Before you customize a template, any language without a translation shows the shipped default-language text. Once you start customizing, translate your store’s default language first — that’s what an untranslated language falls back to once a template holds your own edits.

Customizing a template’s layout

The Code tab gives you access to the email template’s underlying HTML and subject line. Use it to customize the email’s overall appearance and structure, including its layout, formatting, styling, and content placement. Changes made here determine how the email is displayed to recipients.

Previewing and testing

Use the Preview tab to see how the email renders in each language, on desktop or mobile. When you’re ready to check the real thing, use Send test email to send yourself a live copy of the template.

Resetting a template

If you customize a template and want to start over, use Reset to system defaults to revert it. This restores the default template and its pre-translated phrases.
